Position Summary 

The Assistant Admissions Director reports to and provides key support to the Admissions Director in all areas of camper recruitment and enrollment. The Assistant Admissions Director is a full-time, exempt, year-round position with full benefits.  The work week runs from 8 a.m. to 4 p.m. Monday through Friday (some weekends are required during the year).

Admissions and Enrollment 

  • Speak with prospective families about Farm & Wilderness’s (F&W) eight summer camp program and answer parent emails and phone calls 
  • Screen and enroll campers, process applications (camper and campership), and coordinates with Camp Directors and Mental Health Coordinator on applications 
  • Enter campers and prospects into camper databases; reconcile databases as needed to ensure accuracy 
  • Manage all aspects of data management for camp families and online registration process in the F&W databases 
  • Provide organized reports and regular updates for requested enrollment data as needed 
  • Ensure registered camp families receive regular, timely updates and confirmation information 
  • Manage prospective family data and recruitment process in partnership with camp directors 
  • Ensure all online registration process are running effectively throughout the year as well as close down and open up online registration annually 
  • Prepare and maintain all camper files and historical records 
  • Create and send the post-camp survey to campers and parents.  Review and share survey data results 
  • Send out campership applications and process returned applications; prepare for and attend campership committee meetings 
  • Help edit and update camp brochures, handbooks, websites, and marketing documents 
  • Conduct prospective family tours 
  • Manage waiting lists, keep a weekly tally of camp enrollment including diversity statistics

Marketing and Camper Recruitment 

  • Collaborate with camp directors on marketing goals and strategies based on dynamic enrollment throughout the year 
  • As needed support marketing team and coordinate annual marketing report and evaluation 
  • Update F&W listings, i.e. American Camp Association, Vermont Camp Association for recruiting campers and staff

Partnerships 

  • Work with Admissions Director to maintain a positive relationship with partnership families and campers year round 
  • Communicate with and provide updates to partnership organizations on camper and family needs, outreach and visits on site and locally  
  • Manage partnership applications, campership, and billing processes

Office Responsibilities  

  • Provide back-up with daily office tasks as needed such as sorting and posting mail and answering the phone 
  • Attend regularly scheduled meetings and collaboratively work on projects with other staff members as a team to achieve organizational goals  

Qualifications 

Education/Experience Requirements: 

  • 4-year degree or commensurate experience 
  • Excellent written and verbal communication skills 
  • Ability to represent Farm & Wilderness in a professional and articulate manner 
  • Must have at least an intermediate proficiency in Microsoft, particularly Excel and Word 
  • Ability to handle multiple tasks with diverse, strategic outcomes 
  • Ability to work independently and cooperatively 
  • Ability to organize work, determine priorities, and follow through on responsibilities 
  • Ability to navigate various registration software and comfortable providing online registration troubleshooting support or capacity to learn 
  • Ability to work with large datasets 
  • Enthusiasm for and commitment to F&W values

Preferred  

  • At least one-year work experience in an admissions or registrar office setting for a camp or school 
  • Microsoft Excel and Word certifications 
  • Experience with Customer-relationship management (CRM) systems  
  • Experience with Structured Query Language (SQL) 
  • Familiarity with Office 365 Suite of applications 
  • Program marketing experience
